College/Unit Business Office Standard Document Storage Processors Manual

Academic Affairs created standard document types and custom properties for use by college/unit business offices when storing documents in the imaging system.  This manual details the established logic and navigation.

Shared Document Types Managed by AABP:

The shared document types and associated custom properties are managed by Academic Affairs Budget and Personnel (AABP).  Any requested changes require prior approval by AABP since all colleges/units currently using the shared logic would be impacted.

Plan For Consistency:

Since many of the document key and custom property values are not required and allow variable formatting, it is recommended that pre-planning be done within the college/unit so that field input such Fiscal Year (Ex: FY19 or 2018-2019) and use of File Name, Notes, etc. is used consistently.  This will aid with searching for stored documents.  A planning template is attached.

System Access Restrictions

The ability to view items and complete actions within Perceptive Content is restricted based on approved system security access.  An FAQ on requesting access updates is available hereQuestions regarding which security group(s) will provide the access needed can be submitted via a Help Ticket.

 

Accessing the Imaging System via the Desktop Client

1.  If you do not have the Perceptive Content desktop client installed, follow the guidance available here to complete the installation.

Configure Test Connection:

For testing/training, you will need to use the Test instance of Perceptive Content.  Follow the guidance available here to configure and access the Test instance.

2.  Launch the Perceptive Content desktop client, enter your NinerNet credentials and click the Connect button to log in.

3.  Once logged into the application, a toolbar will display.  Available icons may vary based on user permissions.

Capturing Documents into Perceptive Content

1.  Each college/unit will have a custom Capture Profile that will be available to designated users for adding documents to Perceptive Content.  Follow the guidance available here to initiate access changes.

2.  The standard Capture Profile will include options to print or upload documents into Perceptive Content.  Separate options are created by document category (Budget, Facility, Personnel, Program, Research and Student Svcs) so that related application plans can be used in conjunction with document capture.  Review available options by clicking the drop-down arrow to the right of the Capture icon on the Perceptive Content Toolbar.

Batch Scanning Optional:

A college/unit can request that batch scanning options be added to their Capture Profile.  This option requires the purchase of a license for each computer that will be used for batch scanning.

Note:  As of 08/10/2022 there are several unused licenses on the server and can be used by any department without purchasing a new license. Check this first before advising the department to purchase a new license.

Banner Linking Optional:

The standard application plans require manual update of document keys and custom properties.  As long as only print or upload is used then this allows document capture without the need to purchase a license.  If a college/unit feels that automated property update by Banner linking is needed then that can be created.

3.  Follow the guidance available here to capture a document.

Confidential Reference Property Available:

A Confidential custom property field is available for all college/unit business office document types.  The default value is No.  This is intended for reference only.

Input Tip For Required Fields:

Employee ID and Employee Name document property fields are required for document types in the Personnel category.  "N/A", "-" or some other indicator can be used in those fields if the values are unknown or not applicable. 

4.  Follow the guidance available here to locate your document and confirm that it was captured as expected.
