AP/TCP Voids Workflow Processors Manual

Processing voids requires specific custom property updates as well as unique routing decisions.  Void check requests are initiated using the Payment Research Request Form.  The initiator indicates whether the check should be voided and reissued, or voided and not reissued.  Submitted forms route through various paths depending on the type of request.  

System Access Restrictions

The ability to view items and complete actions within Perceptive Content is restricted based on approved system security access.  An FAQ on requesting access updates is available hereQuestions regarding which security group(s) will provide the access needed can be submitted via a Help Ticket.

GA Processing

1. The processor will receive an email alert stating that documents are available in the workflow queue for review and processing.

2. Log in Perceptive Content and navigate to the GA Processing queue within the GA General Accounting workflow. 

3. A list of items to be processed will display on the right side of the Perceptive Content Explorer window.  Double click on an item to be processed to open it.

4. Review the form details, document keys, custom properties and any attachments.

5. Update the PRR Status custom property to indicate Process VCF or No Action Required and the Void: AP/TCP/Payroll custom property to indicate which group should complete processing.

6.  After all due diligence is complete, click the Route Forward icon.  The form will then route forward in workflow to either AP Voids, TCP Voids or PAY Voids based on the custom property value that was selected.

AP Voids/TCP Voids/PAY Voids Processing

1. The processor will receive an email alert stating that documents are available in the workflow queue for review and processing.

2. Log in Perceptive Content and navigate to the workflow queue.

  • AP Voids queue within the AP Invoice Processing workflow
  • TCP Voids queue within the TCP Invoices workflow
    OR
  • PAY Voids queue within the PAY Payroll Process workflow

3. A list of items to be processed will display on the right side of the Perceptive Content Explorer window.  Double click on an item to be processed to open it.

4. Review the form details, document keys, custom properties and any attachments.

5. Complete any necessary actions and then update the related custom properties.

6. If appropriate, add comments in the Notes field.

7. After all due diligence is complete, click the Route Forward icon and select from the available options.  Default routing from PAY Voids and AP Voids is to AP-TCP Voids - Data Control.  Default routing from TCP Voids is to Archive.  Routing to Archive will bypass Data Control and route directly to Archive.

Data Control Processing

1. The Data Control Processor will receive an email alert stating that documents are available in the workflow queue for review and processing.

2. Log in Perceptive Content and navigate to the AP-TCP Voids - Data Control workflow queue within the AP-TCP Voids Processing workflow.  Guidance on navigation within the desktop client is available here.

3. A list of items to be processed will display on the right side of the Perceptive Content Explorer window.  Double click on an item to be processed to open it.

4. Review the form details, document keys, custom properties and any attachments.

5. Click the Edit link under the Data Control option within the Custom Properties window.  Two Data Control fields will appear.  Use the dropdowns to select appropriate values for Void Check - Intellecheck and Processed Date.

6.  If appropriate, add related information in the Notes field.

7. After all due diligence is complete, click the Route Forward icon to route the document for archive.
