Reporting and Fixed Assets Workflow Processors Manual

This document provides instructions on how to complete RFA Reporting and Fixed Assets workflow review and approval.

System Access Restrictions

The ability to view items and complete actions within Perceptive Content is restricted based on approved system security access.  An FAQ on requesting access updates is available hereQuestions regarding which security group(s) will provide the access needed can be submitted via a Help Ticket.

RFA Fixed Assets Processing Workflow Queue

1. The Reporting and Fixed Assets processors will receive an email that there are documents in the RFA Fixed Assets Processing workflow queue.

2.  Open a browser and go to imaging.charlotte.edu.

3.  The Login screen will display, as shown below: 

 

4.  Click Login and enter your NinerNET credentials.

5.  Once logged into the application, a screen will display all Experience Content Apps on the main Home page.

6.  Click on the Workflow Content App from the Home screen.

7.  Once in Workflow, select  beside the RFA Reporting and Fixed Assets workflow listing to view the available queues and then click on the RFA Fixed Assets Processing workflow queue.

8.  A list of documents will display. 

Note: If processing is completed using the Perceptive Content Desktop Client then items in this queue are grouped by the custom property Manual Processing Required.  This grouping does not occur when processing is done within Perceptive Content Experience, but the custom property Manual Processing Required is still visible within the view.  This custom property indicates whether Banner updates will occur automatically or will need to be completed manually.

9.  To view a document, click on the line item and the document will display.

10.  Perform your due diligence.

11.  For some document types in the workflow queue the following form fields can be updated, if appropriate: Asset Tag # and Archibus #.  Click the  icon in the top left corner to save your changes.

12.  If you will be denying the request, enter your reason in the Notes field at the bottom of the CUSTOM PROPERTIES.  Click the  icon in the top right corner of the screen to show or hide properties.

13.  Click the Workflow icon at the top of the screen and select Route Forward, Manual and RFA Approved or RFA Denied from the dropdown to process the request.

RFA Compl Fabricated Equipment Workflow Queue

1. The Reporting and Fixed Assets processors will receive an email that there are documents in the RFA Compl Fabricated Equipment workflow queue, as shown in the Test example below:

2.  Open a browser and go to imaging.charlotte.edu.

3.  The Login screen will display, as shown below: 

 

4.  Click Login and enter your NinerNET credentials.

5.  Once logged into the application, a screen will display all Experience Content Apps on the main Home page.

6.  Click on the Workflow Content App from the Home screen.

7.  Once in Workflow, select  beside the RFA Reporting and Fixed Assets workflow listing to view the available queues and then click on the RFA Compl Fabricated Equipment workflow queue.

8.  A list of documents will display.

9.  To view a folder's contents, click on the line item and the document listing will display.

Note: There will be two documents in the folder:  the Fabricated Equipment Form and the Fabricated_Equipment_Worksheet.

10.  Click on the Fabricated_Equipment_Worksheet to open the document for review.

11.  Perform your due diligence by reviewing the form details and any attachments.

Warning: Any unintentional changes you make to this worksheet will save automatically.  Care should be taken in completing your review.

12.  Click on   at the top of the screen when you are ready to return to the folder view.

13.  Click the Workflow icon at the top of the screen and select Route ForwardSequential Auto from the dropdown to process the request.

 

RFA Lost Assets Queue

1. The Reporting and Fixed Assets processors complete ongoing monitoring of the RFA Lost Assets Queue.  Alarm notifications were turned off at the request of the department so no email notification will be received related to this queue.

2.  Open a browser and go to imaging.charlotte.edu.

3.  The Login screen will display, as shown below: 

 

4.  Click Login and enter your NinerNET credentials.

5.  Once logged into the application, a screen will display all Experience Content Apps on the main Home page.

6.  Click on the Workflow Content App from the Home screen.

7.  Once in Workflow, select  beside the RFA Reporting and Fixed Assets workflow listing to view the available queues and then click on the RFA Lost Assets Queue workflow queue.

8.  A list of documents will display.

Tip: If the list does not automatically display, click the search button in the top right corner to refresh the view.

9.  To view a document, click on the line item and the document will display.

10.  Perform your due diligence by reviewing the form details and any attachments.

a.  If an asset on the form is found, then update the Lost / Found Status on the form by selecting Found from the dropdown.  Click the  icon in the top left corner to save your changes.

b.  If all assets on the form are updated to a Lost / Found Status of Found then click the  icon at the top of the screen and route the document to Lost/Found.

c.  If two years has passed since the date of form submission and the assets are still lost then click the  icon at the top of the screen and route the document to Lost/Found.

Email Notification: If the Lost / Found Status was set to Found then when the form is routed forward an email notification will be sent to the Initiator indicating that the asset was found.

RFA Surplus Processing Workflow Queue

1. The Reporting and Fixed Assets processors complete ongoing monitoring of the RFA Surplus Processing workflow queue.  Alarm notifications were turned off at the request of the department so no email notification will be received when a new document enters the queue.

2.  Open a browser and go to imaging.charlotte.edu.

3.  The Login screen will display, as shown below: 

 

4.  Click Login and enter your NinerNET credentials.

5.  Once logged into the application, a screen will display all Experience Content Apps on the main Home page.

6.  Click on the Workflow Content App from the Home screen.

7.  Once in Workflow, select  beside the RFA Reporting and Fixed Assets workflow listing to view the available queues and then click on the RFA Surplus Processing workflow queue.

8.  A list of documents will display.

9.  To view a document, click on the line item and the document will display.

10.  Perform your due diligence.

11.  In the DOCUMENT PROPERTIES, update the SURPLUS DOC #.  If properties are not visible on your view, click the  icon to show or hide properties.  

12.  Click the  icon in the top left of the screen and select Create Annotation from the dropdown.  Click in an open area of the form and then select ANNOTATION TYPE Text and ANNOTATION TEMPLATE GA Text.  Click the add button to add the text field.  In the pop-up that appears, enter the SURPLUS DOC #, the ORG CODE and the pick-up date.

13.  Click the Workflow icon at the top of the screen and select Route Forward, Manual and then RFA Approved or RFA Denied from the dropdown to finalize processing of the request.
