The following best practices should be followed when using AI Companion in your meetings:
- Do not automatically enable Zoom AI Companion at the start of the meeting. It will transcribe all conversations even those not associated with the meeting content.
- Enable AI Meeting Summary if appropriate when the formal meeting begins.
- Alert participants that you have enabled AI Companion for the meeting or phone call
- Be prepared to disable AI Companion if requested
- Do not record meetings where any sensitive Personal Identifiable Information (PII) or Protected Health Information (PHI) is shared or discussed. This includes social security numbers (SSNs), student education records, dates of birth, medical records, or personal contact information.
- Review and edit summary notes prior to sharing
- Remove any personal conversation captured by AI Companion in the summary
- Download any summary notes from the cloud prior to the expiration date if you need to keep them beyond the data retention period
