How do I request or remove access to the imaging system?

What You Need Before You Start

  • A completed and signed University Confidentiality Agreement form.

  • Your NinerNet credentials.

  • The 800# or full name (Last, First) of the person needing access changes.

  • Supervisor approval (must be attached to the request prior to submission).

Steps to Complete the Task for Perceptive Content

Step-by-Step Instructions

  1. Open the Document Imaging Security Group Add/Remove Request form.

  2. Log in with your NinerNet credentials. Your 800# and name will display automatically.

  3. Enter the Charlotte ID or name (Last, First) of the person needing access requested or removed, then press the TAB key.

  4. Type a brief description in the Reason for Request text box.

  5. Select either Add Imaging Access or Remove Imaging Access from the drop-down list.

If Adding Imaging Access:

  1. Press the TAB key after selecting Add Imaging Access.

  2. Choose one of the following methods to assign permissions:

    1. To copy permissions from an existing user: Enter their 800# or name in the Copy Access From box and press TAB. Their current security groups will automatically populate.

    2. To select groups individually: Select the appropriate Category abbreviation (e.g., AP, HR, TAX) from the drop-down list, then choose the specific Security Group from the Access Group drop-down list.

  3. Verify that you have read and understood the imaging PCI Compliance and Data Security procedures.

  4. Enter your initials in the field acknowledging that the user has read and understands the Confidentiality and Data Security and Credit/Debit Card Compliance policies.

If Removing Imaging Access:

  1. Press the TAB key after selecting Remove Imaging Access.

  2. Select the checkbox for each security group that should be removed under the Group Information: Remove Imaging Access section.

Finalizing Your Access Request:

  1. Attach any supporting documentation, including the supervisor's approval.

  2. Click Submit Access Request.

  3. Refresh your browser if you need to clear the form and submit another request.

  4. Close your browser tab to exit.

Steps to Complete the Task for Softdocs etrieve

  • Requests for security changes in the Softdocs etrieve system should be communicated by submitting a Service Desk ticket.

Important Notes or Exceptions

  • Submitted requests are routed to the associated department supervisor group for review. Once a supervisor approves or denies the request in the workflow, access is updated.

  • Category names use standard department abbreviations (e.g., HR = Human Resources, AP = Accounts Payable, REG = Registrar's Office).

  • Security group general descriptions are provided below.

Security Group

Description

Scanning Profile Allows you to scan documents based on granted access.

External Viewer

Grants view-only access to documents.

Processor

Allows you to process documents within Perceptive Content (e.g., route forward, update properties, attach documents).

Supervisor

Grants processor access plus the ability to delete documents and approve departmental access requests.

Approver Grants access to approve or deny workflow tasks.
