How do I configure Outlook email client to work with Gmail?

NOTE:

The University's Office of OneIT provides limited technical support for those electing to use a 3rd Party email clients to retrieve Gmail.  Support includes best effort via IT Service Desk phone support (no ticket escalation) and the FAQs shown. Individual colleges/departments may provide additional support. The College of Liberal Arts & Sciences (CLAS) does not support the use of IMAP email clients.

TIP:

OneIT recommends accessing Gmail via the web browser interface.  3rd party applications like Outlook, Thunderbird, and Apple Mail do not offer the full search, integration and ease of use and frequently results in inconsistent operation.

Getting Started:

The following instructions will work only on Outlook 2019 and later.

During the migration to @charlotte.edu, users will need to delete the profile and re-add it back using the @charlotte.edu as the email address. See Microsoft support page here to delete profile. Then use the following steps to set your account back up.

  1. Start Outlook
  2. Enter your NinerNET email address with @charlotte.edu and click Connect
  3. Click Google
    Select Google for account type
  4. Enter the following settings:
    1. Incoming mail
      1. Server = imap.gmail.com
      2. Port = 993
      3. Encryption method = SSL/TLS
    2. Outgoing mail
      1. Server = smtp.gmail.com
      2. Port = 465
      3. Encryption method = SSL/TLS
    3. NOTE:  Leave unchecked the checkbox to "Require logon using Secure Password Authentication (SPA)"
      IMAP Settings
  5. Click Next
  6. Enter your NinerNET password and click Connect
  7. You will be redirected to the University's Single Sign On login - enter your NinerNET username & password and complete the Duo authentication
  8. A Google permissions box will open - scroll to the bottom and click Allow

  9. Uncheck Setup Outlook Mobile on my phone, too and click OK
    Account setup is complete
