What are a department’s responsibilities for managing pilferable equipment?

  1. Understanding Pilferable Equipment:
    1. DefinitionPilferable equipment encompasses items with a ready resale value and is subject to theft, such as laptops and tablet computers.
    2. VulnerabilityThese assets are typically not tagged and inventoried by the Fixed Assets Office since their individual cost usually falls below the $5,000 capitalization threshold.
  2. Departmental Responsibilities:
    1. Tracking Requirement: In alignment with University Policy 601.15, Control and Management of University Equipment and Other Property, Department Heads and Unit Directors are required to track pilferable equipment with an acquisition cost between $1,000 and $5,000, and are strongly encouraged to track pilferable equipment with an acquisition cost under $1,000.
    2. Collaboration with Fixed Asset Team: The Fixed Asset team created a Pilferable Equipment Template for departments to use.
    3. Annual attestation compliance check: It is recommended that departments verify their pilferable equipment at least annually.  
    4. Internal Audit inspection protocols: UNC Charlotte Internal Audit Department reserves the right to inspect each department’s assets, including pilferable assets, during periodic internal audits.
