Campus departments are encouraged to start using the Concur system for all travel requests and expense reports starting August 8, 2024.
- Existing travel forms will be accepted until September 30, 2024, as part of a transition period (see exceptions for grant-funded and international travel below).
- After September 30, only Concur-based Travel Requests and Expense Reports will be accepted.
- If an older Travel Authorization form is submitted after August 8 for travel to occur after September 30, 2024, the traveler (or delegate) will also need to complete a Concur Travel Request prior to the traveler completing the trip.
For trips completed between August 8 and September 30, 2024, you can:
- Utilize Concur to complete a Travel Request and Travel Expense Report.
- For grant-funded and international travel not previously authorized, only Concur-based Expense Reports will be accepted.
- Utilize Concur to submit a Travel Expense Report and attach a copy of the approved Travel Authorization (TA or eTA) to the Travel Expense Report when submitted in Concur.
- Utilize the current Travel Reimbursement and Expense Report (TRER) tab in the travel forms package.
- Only Concur-based Expense Reports will be accepted for grant-funded and international travel that begins August 8, 2024, forward.
All purchasing card (p-card) transactions with post dates after August 7 must be reconciled in Concur. If you are a p-card holder who travels between August 8 and September 30, 2024, you should complete a Travel Expense Report in Concur.
Forms Concur is replacing
Concur will replace most disbursement paper forms for UNC Charlotte faculty, staff and graduate students, including these forms:
- Travel Advance Request
- Travel Authorization (TA) and the electronic TA (eTA)
- Travel Reimbursement and Expenditure Request (TRER)
- Mileage and Transportation Request (MTR)
- Missing Receipt Affidavit
- Third-party Lodging
Non-employees (e.g., job candidates and speakers) and students will use the current paper forms to handle their expenses until this population transitions into Concur later. Graduate assistants will be loaded into Concur as employees at the time of the initial launch.
