Reviewing and Approving A Travel Request

  1. Log in to concur.charlotte.edu.
     
  2. On the Concur homepage, navigate to the left-hand side of the screen.
     
  3. Select this icon to open Approvals > Approvals Home

     
  4. Select the Approvals Home, then select the Request name to view the Travel Request details.  
    Note: There are three options:  
    • Approvals Home - see pending Approvals for Travel Requests and Expense Reports. 
    • Requests - see previously approved Requests. 
    • Reports - see previously approved Travel and/or PCard Expense Reports.

       
  5. Review the information on the Request and any attached documents before approving.
    Note: Select Attachments > View Documents to see all attachments for this Travel Request in one window. 
     
  6.  Select the Request Details dropdown menu to review the following information: 
    • Request Header – details providing context about the report.
    • Request Timeline - details the workflow of approvers. 
    • Audit Trail – complete history of activity and audit messages.
    • Header and Timeline (displays the workflow), Audit Trail, and Allocation Summary (displays fund or funds to be used).   
       
  7. To view a detailed outline of the Travel Request, navigate to Print / Share > * Request to Travel Detail Report
     
  8. To add an additional review and approval of the Travel Request, see the Adding an Additional Approval Step to a Travel Request guide.
     
  9. Select Approve to certify that the Travel Request has been reviewed and complies with University policies.
    Once reviewed and approved, the report is then removed from the Requests Pending your Approval list.

    Note: To send the Request back to the employee, select Send Back to Employee. When sending a Request or Expense Report back to an employee, enter a comment explaining the reason for returning.
