Why is action needed?
When a student job assignment ends earlier than expected, it is necessary to update the end date in NinerWorks to reflect the student’s actual last working day. This ensures an accurate end date reflected in Banner and other downstream systems.
Note: Avoid unnecessary supersedes! A supersede is not needed if the job is already set to end within a current pay period. A supersede will not end the job earlier than the last date of that pay period.
How to update the assignment end date in NinerWorks
Follow these steps to adjust the end date using the Supersede action in NinerWorks. Upon approval, the revised end date will be updated in Banner.
- Log in to NinerWorks using your NinerNET credentials.
- Click Supersede from the Manage menu in the top right corner.
- Select the appropriate NinerWorks type from the dropdown menu.
- Search for the employee using their UNC Charlotte ID or name, then select the correct applicant.
- Choose the specific record(s) from the Eligible List by clicking the blue icon under the Type column.
- Make the necessary changes, including updates to Separation and Overpay fields. Provide justification in the Notes section.
- Select the correct separation action. (See guidance below).
- Record the reason for the separation/termination.
- The Overpay field allows users to request an overpayment collection if needed.
- Click Submit for Approval to finalize the changes.
Determining the Correct Separation Action
The Separation field allows users to modify or terminate the job assignment, depending on when the assignment is ending:
- If the assignment ends within the current pay period:
- Select Separation – Yes – Terminate
- Keep all dates and details unchanged.
- Upon approval, the assignment will end with an effective date corresponding to the last day of the current pay period.
- If the assignment ends in a future pay period:
- Select Separation – No – Modify Existing
- Update the end date accordingly.
- Upon approval, the assignment will end with an effective date matching the last day of the pay period in which the revised end date falls.
