How do UNC Charlotte foreign national employees submit their employment tax forms?

Congratulations on your new position! UNC Charlotte has partnered with Sprintax Calculus to securely collect your information, determine your residency status, review your information for tax treaty eligibility, and generate your tax forms. Please follow the steps below to ensure you are added to the system.

  1. Email taxoffice@charlotte.edu and let us know you have accepted a job at UNC Charlotte.

  2. The UNC Charlotte Tax Office will add your name and email address to the Sprintax Calculus system. Your Username will be your Niner Net credentials + @charlotte.edu.
     
    For example, if your Niner Net credential were Norm123, your email in Calculus would be Norm123@charlotte.edu.

    This is the email you must use whenever you log into Sprintax Calculus. Do not use an alias or @uncc.edu when logging into Sprintax.

  3. You will receive an email from noreply@sprintax.com asking you to complete your registration. For more information on completing this online questionnaire, please visit the Sprintax Knowledge Base for access to videos and other helpful resources.

  4. Once you have completed the questionnaire, double-check your responses for completeness and accuracy.

  5. Calculus will review your information and determine your residency status and treaty eligibility.

  6. If you are a nonresident alien (NRA), Calculus will prepare the following forms, which you can sign digitally or manually:

    1. Form W-4, Employee’s Withholding Certificate 

    2. Form NC-4NRA, Nonresident Alien Employee’s Withholding Allowance Certificate

    3. Form W-8BEN, Certificate of Foreign Status of Beneficial Owner for United States Tax Withholding and Reporting (Individuals)

    4. Form 8233, Exemption From Withholding on Compensation for Independent (and Certain Dependent) Personal Services of a Nonresident Alien Individual (if applicable).

  7. If you are a U.S. resident, Calculus will prepare the following forms, which you can sign digitally or manually:

    1. Form W-4, Employee’s Withholding Certificate

    2. Form NC-4, Employee’s Withholding Allowance Certificate

    3. Form W-9, Request for Taxpayer Identification Number and Certification.

  8. You will also upload copies of your visa, passport, social security card (if you have one), I-94, and I-20 or DS-2019 into the Document Exchange

  9. Ensure you have provided all the information requested and submit your questionnaire.

  10. Email the UNC Charlotte Tax Office at taxoffice@charlotte.edu to let us know you have completed your profile.

  11. The Tax Office will review the information submitted and email you with any questions.

  12. Once your profile has been reviewed, you will receive a confirmation email from the Tax Office.

  13. If your visa status or documents change, you move to a new address, or you receive your SSN, update your profile as soon as possible.
